PartsTrader is a procurement tool for the New Zealand Automotive industry.
Businesses which join must be located in New Zealand, be involved in the Automotive trade and pass basic quality vetting.

When using PartsTrader as a repairer, you will generate a rating over time. This rating is used by suppliers to decide if they want to work with you. To get the full value from PartsTrader it is best to use it frequently. We will not create an account for a single use.

Suppliers must pay a one off application fee of $1000 +GST.
You will be charged 3.5% of total sale value on winning a quote and there is a tiered subscription fee that will be supplied on application.

PartsTrader is free for repairers.
If you are a panel shop, suppliers will pass on the success fee which you can on-charge to your insurer or end customer.
If you are a mechanical shop, the supplier will include the fee in your quote as part of the purchase price.

PartsTrader charges a success fee of 3.5% when a supplier wins a quote tender. Suppliers are charged a subscription fee which is tiered based on sales and ranges from $24 to $750 per month.
Some users pay for data access as well.

Use the ‘Forgot Password’ button on the log in page, you will need to enter your username and click the ‘Send Instructions’ button which will email you a temporary password.

Glossary
Aftermarket
These parts are not from the genuine vehicle manufacturer. They are not covered by the genuine manufacturer's warranty. This may include parts from other vehicle makes.
Approved / Ready to Order
The repairer or their sponsor has confirmed which quote is their preference and approved a winner of the tender. No order has been placed yet.
Bulk Quote
A term used to describe when a supplier chooses to price all parts under one total price when quoting on a request. We recommend against this unless it is unavoidable (ie bulk quoting a front cut could be sensible)
Delivery Date
The 'Delivery Date' is entered by the supplier when they are quoting on a request. This is an estimated amount of time that the supplier believes it will take for the repairer to receive the complete parts package after the repairer places an order. This includes packaging parts and any transport time.
Escalated
A new request has been generated and sent to all regions. If a request is escalated within two days of it closing, any existing quotes will attach themselves to the escalated request. If a request is escalated after two days of closing, all quotes are removed and suppliers will need to quote again.
Escalate
After a request closes, Repairers may be given an option to 'Escalate Request'. This button will only appear for the repairer if the request does NOT have 3 x 100% fit quotes returned from local suppliers. This option places the current request into an 'Escalated' status and creates a new separate request with all of the same details, but is sent to all PartsTrader regions. All quotes from the original request are pulled across to the escalated request - only if the request is escalated within two days of the request closing.
Favourites
Favourites can be set up in My Favourites and Filters, or by clicking the configure link next to the Favourites toggle box. This Toggle will flick between Favourite models and all requests available.
Financial Manager
A nominated user account within a company that has permissions enabled to view financial related information. A Financial Manager for a supplier company is the only account within the company that is emailed PartsTrader supplier invoices.
Lapsed
This request has timed out without a winner being selected. Any quotes gathered are now invalid and inaccessible.
Multiple Quote
A term used to describe when a supplier chooses to quote more than once on a single parts request. Multiple quoting allows the supplier to provide the repairer with different purchase options for different parts. There is no limit to the number of quotes that a supplier may submit.
Nationalise
To send a request to every supplier in the country who can supply parts for this vehicle rather than the local supply pool.
New Gen Imported
New genuine parts imported by non-official NZ agent. These parts are not covered by the manufacturer's New Zealand warranty.
New Gen NZ
These are genuine parts from the vehicle manufacturer's official NZ agent. These parts are covered by the manufacturer's warranty.
PAG
PartsTrader Advisory Group. A select group of motor vehicle industry representatives from the PartsTrader Repairer, Supplier and Insurer sectors.
Partial Quote
A term used to describe when a supplier chooses to supply only some of the parts on a request. The supplier will need to remove any parts that they are not supplying.
Pending
The request has not yet been sent to suppliers. The request details can still be edited at this time.
Quote by Part
A term used to describe when a supplier chooses to individually price each part when quoting on a request. This is the recommended option for quoting.
Ratings
Repairers and suppliers are evaluated each week based on their peer feedback received over a long period of time. Each company is then graded on a 1-5 star ranking.
Reconditioned
Used parts that have undergone some degree of refurbishment
Recycled
These are second hand parts from a comparative vehicle. Not covered by manufacturer's warranty.
Remanufactured
Used parts/assemblies that have been rebuilt to the manufacturer's original specifications to an as new condition.
Repairer
A PartsTrader purchaser who procures parts using PartsTrader.
Request ID
All PartsTrader requests have a unique identifier. All user work queues and filters list show the Request ID as a hyperlink that takes the user directly to the request.
Selected
Repairer has chosen this quote as winning the tender however has to wait for Sponsor approval.
Sponsor
A third party who have a say in which quote will be selected. This could be an insurer, rental car company or fleet manager.
Success Fee
A supplier will be charged a percentage fee based on the total of their winning quote. PartsTrader will invoice the winning supplier directly. Invoices are sent out on a fortnightly basis.
Supplier
An approved supplier of motor vehicle parts and who has registered as a member on PartsTrader.
Won
The Supplier has won the quote tender, they have provided the best quote. If the repair goes ahead they can expect an order on platform.
Repairers
I'm not looking to buy anything right now but I am curious what it might cost. Can I list a request to find out?
Absolutely not, any request must be a legitimate attempt to purchase parts. Price checking is unacceptable and may see your account deactivated.
What if my customer isn't sure, does that mean I have to order parts if I get a quote?
No, as long as your intentions are right. Sometimes customers change their mind or disappear, in this case you are not expected to complete the trade.
The repair isn't going ahead anymore, what should I do?
First, make sure you have approved a winning quote. This lets the supplier know they're competitive. Next, email us to withdraw the request. This will credit the suppliers success fee and advise them no trade will go ahead.
I'd like to have a request (or multiple) withdrawn, how should I let you know?

I've got some parts in the workshop which I'd like to sell, can I do so on PartsTrader?
Maybe, you will need to have a second hand goods dealers license and complete a full supplier application. This is unlikely to be worthwhile unless you have a constant supply of quality parts.
I need to find parts but this is a private repair, can I still use PartsTrader?
Absolutely. PartsTrader is a tool for the automotive industry. There is no requirement for insurance involvement.
Do I need to check parts when they are delivered?
Yes. All parts should be inspected on delivery. If they are damaged the supplier needs to claim them asap. If you leave an unopened parcel on a shelf for a month then find the parts damaged, do not expect a credit of any sort.
This all seems a bit unfair and one sided.

Suppliers
I've been charged a success fee but I haven't had any parts ordered, how come?
PartsTrader success fees are charged when you win a quote tender. This means you will often see a fee before you receive an order.
We haven't received an order so I do not want to pay this fee. What should I do?
Contact the repairer. Repair times can vary wildly, you may find an order is incoming.
The repairer has confirmed they won't place an order, how do I get the fee credited?
The quickest way is to remind the repairer to have the request withdrawn. This will immediately credit the fee. Constant reminders will help repairers remember their responsibility here. You can email the repairer with us CC'd if you like.
A repairer has rejected my parts, what should I do?
Firstly try to work out if this was fair, did you represent the parts correctly? If not, you have failed to fulfill the order properly. If the parts are of fair quality and the repairer has changed their mind it is acceptable to charge a restocking fee.
My parts were damaged in freight and now the supplier wants a credit.
Parts damaged in freight may no longer be fit for purpose, in this case the repairer may reject them. The repairer should check the parts on delivery & you should chase your freight company for a credit.
I'd like to open a repairer account to buy parts as well, can I do so?
Maybe, we will open repairer accounts for suppliers who maintain a good rating. You will need to manage the account well and it will be closely monitored.

Sponsors
Why can't I see this request?
You may not have permission, contact your repairer and request that they nominate you as the Sponsor.
I called PartsTrader to give me access to a request but they said no, email instead. Why?
Repairers are the 'owners' of their requests and should be the ones to allow you to view them. Sometimes we will help but we ask for an email as a record of why we have done so. Requesting access to repairs unrelated to you may see your user or account deactivated.
I'd like to list a request to find parts for myself, is that OK?
Absolutely not, PartsTrader is for the automotive trade. Most repairers will be happy to do this on your behalf but unless you run a workshop and have a repairer account you shouldn't be purchasing parts on PartsTrader. Parts being sent to residential addresses is a major red flag and may result in your removal from PartsTrader.
Deliveries Feature
Deliveries is a tool designed to make managing your incoming parts easier, make the ratings more accurate and promote more effective communication between parties.
Repairers who choose to use deliveries can access the page using the 'Deliveries' tab on the left side menu.
Once they do so Deliveries will begin tracking future orders.
When the delivery is received, the Repairer will check the parts and mark it delivered.
This calculates a delivery rating based on agreed delivery date and immediately prompts for a quality rating - right when the details are fresh in the Repairers mind.
If the repairer forgets to receive the parts, they can back date it and confirm the correct delivery date.
Sometimes things change and the parts are able to be delivered early, Suppliers can offer an earlier date to Repairers who can make an informed choice on getting the parts sooner or sticking to the original plan.
The delivery rating will now be auto calculated after the repairer inputs the delivered date.
Early and late deliveries will result in a lower star rating so ensure you update the order with any new details.

Ratings if Parts are EARLY:
5 Stars 0-3 days early
4 star 4-7 days early
3 stars 8-10 days early
2 stars 11-14 days early
1 star 15+ days early
The Fair Trading Act 1986 and Contract and Commercial Law Act 2017 covers all parts (goods) that are procured on the PartsTrader platform.
Is the Consumer Guarantees Act applicable?
No, the consumer guarantees act is related to B2C transactions, not B2B
Should I check parts when they are delivered?
Yes you are responsible for checking parts on delivery. They may have been damaged in freight and the supplier will need to know asap. Any issues should be followed up immediately.
What if there is damage from transport?
The parts may no longer be fit for purpose and may be rejected. The supplier should be notified immediately so that they can claim with the freight carrier.
Who pays for returns if the parts are not fit for purpose?
If parts are not fit for purpose the buyer is not liable for them. It is common for the buyer to pay for return shipping and receive a credit from the supplier on receipt.
Who can I speak to if there is a dispute about a trade?
Initially you should contact the other party, communication should be open and civil. We recommend recording the communication. If you need further advise you can seek it from: Citizens Advice Bureau, MTA, The Disputes Tribunal or your private lawyer.
Does the condition of any part offered on PartsTrader need to be accurate?
If a part has been misrepresented the purchaser has the right to rejection. It is important to supply as much information as possible about the part being requested or supplied. Ambiguity can reduce legal protection.
